Gestión Smart panel: summary of the day with calls answered, upcoming appointments and open requests.

Not one call is missed

Even at night, and a call that cannot get through waits its turn

The calendar fills itself

It only offers slots that exist

Phone and WhatsApp

The same agent, and the same record

AI notice when it answers

Your customers know what they are talking to, and you comply with the regulation

What changes in the business

A small business that answers like a big one

Callers do not notice that there are only two people behind the counter. Their call is picked up first time, they are given an appointment, told how their matter is going and addressed by name.

Efficiency: nobody drops what they are doing

Opening hours, prices, where you are, an appointment that needs moving: the agent deals with that. Your team only takes the calls that need a person, and they are taken by whoever is accepting calls at that moment.

It transfers the call to the right person

Revenue: slots that used to stay empty

The eleven o’clock at night call, which used to go to voicemail, ends in an appointment. And during that same call the agent sends a payment link, takes a card payment or sets up a recurring fee.

Payment links and recurring fees

Loyalty: it recognises callers by their number

It greets them by name and carries on where they left off. The record creates itself, duplicates are merged, and the appointment reminder includes a link so that the person can change it themselves.

Up to six reminders per appointment

After-sales: every promise has a date

Every request or incident comes with its reference, read out over the phone, with an assignee and a committed date: 4 hours if it is urgent, 24 if it is high, 72 for normal ones and 7 days for low ones.

An example call

This is how a call on a Tuesday afternoon goes

A garage, and a customer asking about her car who wants to come and pick it up. On the right, what the agent checks as it talks.

INCOMING CALL · VIDAL BROS. GARAGE

  1. Agent 00:02

Vidal Brothers Garage, good afternoon. You’re speaking to an artificial intelligence assistant. How can I help you?

  2. 00:09 Caller

Hello there. I’m calling about the car I left on Monday, the Golf. I wanted to know if it’ll be ready for Thursday, because that’s a good day for me to come and pick it up.

  3. Agent 00:21

I recognise you from your number, Marta. Your Golf came in on Monday for the clutch and at the moment it’s waiting for a part. For collection on Thursday I have two slots left: 9:30 or 12:00.

  4. 00:38 Caller

Twelve is better. But if the part doesn’t arrive, let me know, because I don’t want a wasted trip.

  5. Agent 00:52

That’s booked: Thursday at 12:00 for collection. I’ll send you a reminder on Wednesday evening with a link in case your plans change. And I’m leaving a request for the workshop manager to confirm the part with you; the reference is AV-0042, let me spell it out: A, V, zero, zero, four, two.

What it looks up while it talks

  • The record, from the number calling

Name, vehicle and the last thing that was discussed with her.

  • The status of the repair, live

It asks the garage’s system and says what it finds. That data is not copied here.

  • Thursday’s collection slots

The two it offers exist in the calendar; there are no others.

  • Who the request goes to

Assignee and committed date, according to the priority.

This is a written re-creation. We wrote the dialogue ourselves to show how a call goes. If you would rather hear the real agent, there is a recorded call just below.

Listen to it

This is how it sounds when it picks up the phone

A customer calls to find out how a fault they reported earlier is going, and does not have the reference to hand. The agent finds it, tells them what stage it is at and the time the team has committed to. Under a minute, from start to finish.

Call to Acme Telecom 0:55

What you hear, in order

  1. 1

The artificial intelligence notice. First of all, before the agent says anything.

  2. 2

“I don’t have the reference to hand.” The agent finds it anyway, from the number they are calling from.

  3. 3

The status and the committed date. Not “we’ll call you”: the day and time the team has committed to.

A test call, not a real customer. The business and the person are made up, and the caller is another synthetic voice. It was recorded in an environment without a switchboard, so the notice at the start has been added on top; on a real call the switchboard plays it. Long pauses have been trimmed. The rest is the call exactly as it happened.

Setup

Three steps, and the phone starts ringing somewhere else

Your switchboard stays as it is. The only thing that changes is where the calls you choose go.

  1. 1

    Forward the calls you want

All of them, or only the ones nobody picks up within three rings, or only those outside opening hours. Forwarding is set up with your carrier. If you would rather start with a separate line, we give you a new number.

  2. 2

You tell us how you work

Services, prices, opening hours, how long each appointment lasts and what the agent can say about each piece of data: whether it says it, only partly confirms it or never shares it. It is tested before it is published.

  3. 3

It is published and you check the panel

From the first call you have the transcript, the requests and the calendar. And a backup number the call goes to if anything fails: an agent cannot be published without that number.

What you see

The panel, which is where everything is checked

Four screens you will look at every day: the call, the calendar, the requests and WhatsApp.

The call

Word for word, with the time each response took

Each turn shows its time, how long the response took and what the agent looked up to give it. If a call went wrong, you can see at which turn and why.

  • The full transcript, not summarised.
  • Which appointments, requests or payments came out of that call.
  • The recording, only if you have switched it on.
Details of a conversation in the panel: turns by the agent and by the caller, with the time and the response time.
The calendar

One column per professional, with no overlapping appointments

Whatever the agent books goes in here, on the slots that really are free. You move an appointment by hand when needed and the reminder adjusts itself.

  • Each service with its duration and its price.
  • Up to six reminders per appointment, with a link to cancel.
  • No-show risk warning on records that have already missed appointments.
Panel calendar with one column per professional and the day’s appointments laid out by the hour.
The requests

With an assignee and a committed date

Every request the agent opens goes into the inbox with its reference and a deadline based on the priority it was given. Anything overdue can be seen at a glance.

  • Urgent 4 h, high 24 h, normal 72 h, low 7 days.
  • The reference the agent read out over the phone, so you can search for it.
  • Who changed what and when, logged.
Panel requests inbox with the priority, assignee and committed date of each request.
WhatsApp

Every message, with its appointment and whoever is handling it

Confirmations and reminders go out automatically, and each person’s reply reaches their appointment: “Confirmo” (I confirm) confirms it and “Necesito cambiarla” (I need to change it) flags it in the calendar. When someone from the team is needed, they take over the conversation and reply from the business.

  • The record of whoever is writing, alongside: their appointments, their requests and their calls.
  • Every conversation assigned to a person, with tags and with what is still unread.
  • What the team writes reaches the customer from the business, and the panel keeps a record of who wrote it.
Panel WhatsApp inbox: the conversation with a patient who is asking to change her appointment, handled by a member of the team, with her record alongside.
Privacy, in brief

Callers know what they are talking to, and you know what is stored

The artificial intelligence notice plays on every call and cannot be switched off. You decide the rest, and there is a written record of who decided it.

ISO/IEC 27001: certification in progress

Privacy and security in detail

Recording is off by default

You switch it on if you want it. And if the AI notice has not played, nothing is recorded.

You choose how long data is kept

From 7 days to 3 years. Recordings without a chosen retention period are deleted after 30 days.

Five access roles

Owner, editor, read only, billing and the platform team. Every time someone listens to a recording, it is logged.

Health data does not leave

It does not reach the agent or any model. Sensitive data is encrypted, and consent is recorded.
